Policy – Overdue Notices
Generalities
- All users can renew their documents remotely (except Interlibrary loans (ILL) and documents already reserved by another user) by logging into their library user account.
- An overdue notice may contain more than one document at a time and more than one notice may be sent within the same week depending on the due dates of each document registered in the user account.
- The day following the due date of the 3rd automated overdue notice, the user account is blocked and the user must visit the circulation desk with the documents listed in the notice.
A. Officier Cadets
RMC Saint-Jean Collection
As of the 2nd overdue notice, the staff below will be added as Cc recipients on the overdue notice sent by the library staff by email (Edunet).
Three days after the expiry of the 3rd notice, the document will be considered lost and will be subject to an administrative deduction from the pay of the non-compliant Officer Cadet, in accordance with the RMC Saint-Jean Library's Debt Repayment Policy.

Interlibrary Loans (ILL)
Since libraries with which RMC Saint-Jean Library has ILL agreements may revoke access to their ILL service at any time due to return delays or damage to materials borrowed by our users, the ILL overdue notice rules are different from those for RMC Saint-Jean Library's collection.
In addition to the automated overdue notices generated by the RMC Saint-Jean library catalogue, the bibliotechnician will contact users to:
- Mention an ILL overdue;
- Suggest an ILL renewal or request its return according to the ILL terms and conditions of the ILL specified by the lending institution.
Note: ILLs cannot be renewed online or at the circulation desk.

B. RMC Saint-Jean staff
The current section applies to Public Servants and contract employees hired to provide teaching services.
RMC Saint-Jean Collection
User accounts – civilian and military - displaying one or more overdue documents will receive an automated overdue notice to the email address indicated in their user account. By default, the email entered in the user account by library staff is the Edunet email for the civilians and the Forces email for the military staff (for Officer Cadets, see the previous section).
A maximum of three overdue notices per document will be sent to the user in violation unless the user takes action to correct the situation.
Three days after the expiry of the 3rd notice, the document will be considered lost and user account will be blocked (see Generalities) until the debt is refunded. The RMC Saint-Jean Library's Debt Repayment Policy will be applied in accordance with the user status at the library.

C. External Users and RMC Saint-Jean Retirees
The current section applies to external users and RMC Saint-Jean retirees, but excludes former RMC Saint-Jean public servants "term employees".
RMC Saint-Jean Collection
External users and RMC Saint-Jean Retiree users displaying one or more overdue documents will receive an automated overdue notice to the email address indicated in their user account. The email indicated in the user account is the one provided by the user when creating or updating the account.
Note: If the user does not have an email, the library staff will follow up with them by phone.
A maximum of three overdue notices per document will be sent to the user in violation unless the user takes action to correct the situation.
Three days following the expiry of the 3rd notice, the document will be considered lost and user account will be blocked (see Generalities) until the debt is refunded. A circulation note will be added to the user account. Until the document has been returned to the library (in good condition) or until the user has provided a new copy of the title (see RMC Saint-Jean Library Debt Repayment Policy), the user will no longer be allowed to borrow materials from the RMC Saint-Jean library.
Interlibrary Loans (ILL)
External users and RMC Saint-Jean retirees do not have access to the interlibrary loan service.
